Job Description

Responsible for organizing the spare parts (SP) warehouse activities that includes sourcing, receiving, storing, issuing and maintaining the database of the spare parts inventory so as to ensure that there are no shortages of the various spare parts required in the manufacturing sites for the regular and un-expected maintenance activities.

  • Handle the SP sourcing procedure following company’s instructions, rules and selecting the approved suppliers.
  • Communicate with the suppliers to ensure that they deliver the best quality at the best prices.
  • Receive incoming shipments, verify packing lists, record deliveries and enter receiving data into the automated inventory system (QAD and e-PIMS).
  • Maintain the inventory to such a level so as to ensure an uninterrupted SP availability for the factory’s planned or unplanned maintenance activities.
  • Organize the fabrication of parts and manage the deliveries.
  • Support the technical department’s maintenance requests by issuing parts, tools and miscellaneous materials.
  • Comply with the minimum stock level requirements for the critical SP in accordance with the given instructions from the Head of Technical.
  • Perform regular physical inventories and report any deviations observed or adjustments needs. Review the inventory levels and make appropriate recommendations.
  • Create purchasing requests and upload the required supporting documents in the Expenses Management System (EMS).
  • Follow up with the procurement department to ensure purchasing orders are sent to the suppliers.
  • Follow up with finance to ensure the payments are done based on the agreed terms with the suppliers.
  • Handle utilities payments (water, effluent, electricity, diesel etc.) and maintain the related records.
  • Provide the weekly / monthly reports related to the inventory levels and SP / utilities expenses.
  • Attend the section reviews as per the company’s operating system and give feedback for agreed ETAs.
  • Escalate any out of stock situation or delays in deliveries to the appropriate people.
  • Maintain an exceptional housekeeping level in the stores, ensuring a clean and safe working environment and comply with company’s health and safety, environmental and food safety standards.

 

Skills

 

  • Educational level: Technical School
  • Experience: Minimum 5 years in spare parts stores in a manufacturing environment.
  • Experience in inventory control procedures and warehouse management.
  • Familiarity with standard industrial spare parts (motors, pumps, valves, electrical, hydraulic or pneumatic components, etc.), dairy spare parts knowledge is a plus.
  • Good MS office knowledge & ERP experience.
  • Ability to work under high pressure and provide daily / weekly reports.
  • Languages: Fluent in English (verbal & written). Knowledge of Arabic is a plus.
